What it is
"Is this just bookkeeping with a fancy name?"

No — but it includes bookkeeping. Your books will be clean, accurate, and tax-ready. That's the foundation. What FCore OS adds is the architecture, the system integrations, and the management rhythm that turn your books into a tool for running and growing your business.

"What's the difference between FCore OS and hiring a bookkeeper?"

A bookkeeper records transactions and closes the books. That's their job, and a good one does it well. FCore OS is the layer above that: it connects all your business systems into one coherent picture, restructures your accounting to reflect how your business actually operates, and creates a monthly management rhythm.

You may still work with a bookkeeper inside FCore OS — but the system turns their output into something you can actually use to run your business.

"What's the difference between FCore OS and a fractional CFO?"

A fractional CFO brings strategic financial judgment — budgeting, fundraising, financial modeling. They're typically priced for businesses $10M+ and work at the strategic layer.

FCore OS works at the infrastructure layer: building the system, connecting the data, creating the reporting foundation. Many businesses actually need FCore OS before a fractional CFO would even be useful — because without the infrastructure, there's nothing meaningful for a CFO to work with.

"Is this a software product or a service?"

It's a service that builds and maintains a system. There's no FCore OS app to download. We work with the tools you already have — QuickBooks, your CRM, payroll platform, payment processor — and build the connective architecture between them.

The ongoing engagement includes managing that system, running the monthly close, and delivering the reports that tell you how your business is performing.

Getting started
"I already have a bookkeeper. Do I need to replace them?"

Not necessarily. Some clients keep their existing bookkeeper and we build the system architecture on top of their work. Others transition to us fully.

We assess this in the first conversation — what matters is whether the current setup can support the FCore OS architecture. If it can, we work alongside. If it can't, we'll tell you honestly.

"My books are a complete mess right now. Is it too late to start?"

Not at all — this is actually the most common starting point. Phase 4 of the FCore OS implementation is specifically about rebuilding the accounting foundation: cleaning up the Chart of Accounts, correcting historical entries, and establishing accrual basis.

The mess is the reason to start, not a reason to wait.

"What happens in the first conversation?"

Three things. We learn about your business — your current setup, the tools you use, where the friction is. We show you what FCore OS would look like specifically for your business and industry. And you decide whether it makes sense.

No pitch, no pressure. If it's not the right fit, you keep whatever clarity the conversation gave you.

"What do I need to prepare before we start?"

Not much. Access to your QuickBooks, a list of the tools you're currently using, and 30 minutes. We don't need you to have everything figured out before the first call — understanding where you are is the whole point of Phase 1.

Process & timeline
"How long does implementation take?"

The six-phase build typically takes 3–6 months, depending on the complexity of your business, the state of your existing books, and how many systems need to be integrated. Simpler businesses with cleaner books move faster. Multi-location businesses with multiple revenue channels take longer.

We scope this specifically for you after the diagnostic session.

"What do I need to do on my side during implementation?"

One organized person who can collect and provide information on a regular cadence. Not a bookkeeper, not a financial expert — just someone who can answer questions, provide access, and follow a checklist.

We do the rest. The system is designed so it doesn't require ongoing financial expertise on your team to operate.

"What happens after the 6 phases are complete?"

The ongoing engagement begins. Monthly close, management reports, and the operational rhythm that keeps your Clarity & Control Index in the Optimized range.

We're not a one-time project — we're your ongoing financial infrastructure partner. The implementation builds the system; the retainer keeps it running and evolving as your business grows.

"How does the monthly rhythm work in practice?"

Once a month, your designated contact provides the standard data package — receipts, payroll reports, any transactions that need context. We close the books, reconcile all data flows against the bank, and deliver your management reports.

You review the numbers, we walk through what they mean, and you make decisions. It typically takes you less than two hours per month to participate meaningfully in your own financial management.

Pricing
"What does it cost?"

FCore OS is priced as a fixed monthly retainer — not hourly. You know exactly what you're paying each month, with no surprises and no overages. The specific number depends on your business complexity, number of systems to integrate, and the scope of the ongoing engagement.

We scope the engagement after the first conversation. The structure is designed to deliver a clear return: better financial decisions, access to capital, and a business that's worth significantly more when you're ready to sell.

"Is there a contract? Can I cancel?"

Yes, there's an engagement agreement. The implementation phase has a defined scope and timeline. The ongoing retainer operates on a rolling basis.

We're not in the business of locking clients in. If FCore OS isn't delivering Clarity and Control, that's a problem we want to know about and fix — not something we want to paper over with a long-term contract.

"What's included in the monthly retainer?"

Monthly close and bank reconciliation across all integrated data flows. Management P&L, cash flow statement, and operational dashboard. Monthly review session. Year-round tax readiness. Ongoing system maintenance and integrations management. Access to us when something needs attention between cycles.

Technical
"Do you work with my tools — Toast, Zenoti, Vagaro, Shopify?"

Yes. We work with Toast, Clover, Square, Stripe, Shopify, Amazon Seller Central, Zenoti, Vagaro, HubSpot, JobNimbus, Paychex, ADP, and most major banking platforms.

If you're using a tool we haven't integrated before, we assess the options in Phase 3. Most modern business tools have APIs or export capabilities that can be incorporated into the system.

"What if I'm not using QuickBooks?"

QuickBooks is our preferred accounting core — it's the most capable platform for the FCore OS architecture and we hold a Certified ProAdvisor, Platinum Tier certification. If you're on a different platform, we'll assess it in the diagnostic.

In most cases, we recommend migrating to QuickBooks Online as part of Phase 4. We handle the migration.

"Do you work remotely or do you need to be on-site?"

Fully remote. All client work is delivered via cloud-based tools — QuickBooks Online, shared drives, video calls, and secure data transfer. We work with clients across the United States.

Location has never been a limitation.

"How do I know if it's working?"

Your Clarity & Control Index score. We measure it at the start of every engagement and again after implementation. The delta is the proof.

Beyond the number: you'll know it's working when you open your monthly report and understand it without a phone call, when you can answer a banker's questions without scrambling, and when you make a pricing or hiring decision based on what the numbers actually say — not what you think they say.

"How soon will I see a difference?"

Early signals appear during Phase 4, when the accounting foundation is rebuilt — many clients describe this as the first time their books "made sense." Full Clarity and Control typically comes online in Phase 6, when the operational rhythm is established.

From first conversation to full system: 3–6 months. After that, it runs — and improves — every month.
